Terms of Service
Last updated 29 October 2026
These terms apply when you use Swift Notes, including the app at app.swiftnotes.com.au. Swift Notes is an Australian business (ABN 42 560 326 893). "We" and "us" means Swift Notes; "you" means the person using it. By creating an account you agree to these terms, our privacy policy and our refund policy.
1. What Swift Notes is
Swift Notes helps support workers write shift notes (progress notes) about the people they support. Notes are written in the app and then copied into the system your provider uses. Swift Notes is a writing tool. It doesn't replace your provider's records, policies or reporting obligations, and it isn't registered with or endorsed by the NDIS or the NDIA.
2. Your account
- You must be 18 or older, and give your real name and an email address you can access.
- Keep your password private. You're responsible for what happens in your account.
- The person who sets up a participant is their owner. The owner decides who joins the participant's team (admins, support workers and family) and is responsible for removing people who should no longer have access.
- Only set up a participant if you're allowed to keep notes about them: for example, you're their guardian or family, or their support provider, and you have any consent you need.
3. Plans and payment
- Each participant needs their own plan. The price is shown before you pay (currently A$29 a month) and covers that participant's whole team.
- You pay the first month when you start the plan, and then the same day each month, until you cancel. Payments are handled by Stripe.
- Prices are in Australian dollars. We're not currently registered for GST, so no GST is charged.
- If we change the price, we'll tell owners by email at least 30 days before it applies to them.
- Cancelling and refunds, including our 30-day money-back, are explained in our refund policy.
- Without an active plan, a participant's notes are kept and can still be read and copied, but new notes and the writing help can't be used.
4. Your notes
- The notes and information you put into Swift Notes belong to you (or to the participant and their team). You let us store and process them only to run Swift Notes for you, as described in our privacy policy.
- Please check every note before you use it. You're responsible for making sure notes are accurate and complete before they go into your provider's system.
- Swift Notes doesn't tell you when to report an incident. Follow your provider's procedures and the law for incidents, especially serious ones.
5. Writing help (AI)
If the owner turns on writing help, some text is sent to an AI service (Anthropic, in the United States) to help write or check notes. AI can make mistakes. Everything it suggests is shown to you to check before it's used, and the owner can turn it off at any time. Set-up with AI from past reports is optional too.
6. Using Swift Notes fairly
Please don't use Swift Notes for anything unlawful, try to get into accounts or data that aren't yours, overload or interfere with the service, use bots or automated sign-ups, or copy or resell the app. We may suspend or close an account that does these things.
7. Availability and changes
We work hard to keep Swift Notes running and your notes safe, but we can't promise it will always be available or free of errors. We'll keep improving it, and sometimes that means changing or removing features. If a change takes away something important you've paid for, you can cancel and we'll treat it fairly under our refund policy.
8. Australian Consumer Law and our responsibility
Our services come with guarantees that cannot be excluded under the Australian Consumer Law, and nothing in these terms limits them. Apart from those guarantees, and as far as the law allows, we aren't responsible for indirect losses, and our total responsibility to you is limited to resupplying the service or refunding what you paid us in the 12 months before the problem.
9. Ending
You can cancel a plan or stop using Swift Notes at any time. An owner can ask us to delete a participant and all of their notes by emailing us. Download or copy anything you need first: once deleted, it can't be brought back.
10. Changes to these terms
We may update these terms as Swift Notes grows. We'll change the date at the top, and tell owners by email about any important change before it applies.
11. The law that applies
These terms are governed by the law of South Australia, Australia.
